Inviting a user to your agency

Send an email invitation from your users settings. The invitee clicks the link, sets up their account, and gains access at the role you specified. Invitations expire in 2 weeks; resend any time.

Send an invitation

    Open your agency’s users settings.

    Click the invite action.

    Enter the new user’s email address.

    Pick a role — see Default roles for what each can do.

    Send. The invitee gets an email with the invitation link.

The new user shows up in your agency’s user list with status “invited” until they accept.

Invitation expiry

Invitations are valid for 2 weeks after sending. If the invitee doesn’t act within that window, the invitation expires and they can’t accept it.

If the invitation expires:

    Find the user in the agency’s user list.

    Resend the invitation.

  3. 3

    The new email contains a fresh link with a new 2-week window.

What the invitee sees

The invitation email contains a link to set up their account:

  • They click the link
  • They set a password (or sign in with Google if available)
  • They land in your account with the role you specified
  • They can start working immediately

If they’re already a SALT user (e.g. they have an account from a previous job), the invitation just adds them to your agency — they sign in with their existing credentials.

Picking a role

The role determines what the new user can do. SALT provides system roles by default; some plans also support custom roles (Creating custom roles).

System roles:

  • Manager — broad permissions including users, integrations, custom questions, billing
  • User — standard agent capabilities, can work with Submissions

Higher-level access types:

  • Owner — full administrative control of the agency (granted by transfer, not via invitation)
  • Admin — broad administrative access

If you’re unsure, User is the safest default — it gets work done without exposing administrative actions.

Resending and revoking

  • Resend an invitation if the email didn’t arrive or the original expired
  • Revoke an invitation that’s no longer needed (e.g. the person left before accepting)

Both are available from the agency’s user list.

Common questions

The invitee says they didn’t get the email — what now? Three things: (1) check their spam/junk folder; (2) confirm you typed their email correctly; (3) resend the invitation. If still no email, ask them to check whether their email server is blocking SALT’s sender domain.

What happens if I run out of seats while inviting? The invite is blocked with a seat-limit error. Either remove a user to free a seat or add more seats.

Will the invitee be auto-subscribed to notifications on existing Forms? Yes — they’re added to your agency’s Form subscribers on existing Links with default settings (typically silent unless they’re an assigned user). They can adjust their own preferences after joining.
