Default roles and what each can do

SALT ships system-defined roles (Manager, User) plus higher-level access types (Admin and Owner). Pick Manager for senior staff, User for standard agents. Custom roles with custom permission combinations are available on Propel+ and above.

In short: User for everyday agents. Manager for senior staff who need to handle integrations, users, custom questions. Admin for account-level administrators. Owner for the agency-wide top of the chain.

How permissions are layered

SALT has two top-level access types:

  • Owner — full administrative control of your agency, including billing and ownership transfer.
  • Admin — broad administrative access. Broader than Manager but doesn’t have ownership transfer rights.

For everyone else — the bulk of your team — pick from the role list when you invite them.

System-defined roles

Role Best for
Manager Senior staff who manage users, integrations, Custom Questions, billing on the agency
User Standard agents who work Submissions but don’t manage configuration

Both are available on every agency by default. They cover most of what most agencies need.

The Manager role typically grants:

  • Manage submissions (full Submissions access)
  • Manage users (invite, remove, role changes)
  • Manage integrations
  • Manage Custom Questions
  • Redeem Data Credits
  • Manage prospect forms
  • Manage Live Intake templates
  • View Reports (on plans that include Reports)
  • Other admin permissions

The User role grants:

  • Standard Submission access (view, edit, status changes within their assignments)
  • Document upload/download on Submissions they can access
  • Basic Saved View management

The exact permission set per system role can vary by plan and configuration.

Higher-level access types

  • Owner — top of the agency. Full administrative control, including billing and ownership transfer.
  • Admin — broad administrative access, just below Owner.

Owner and Admin sit above the role-based system.

Which to pick when inviting

A practical guide:

When unsure, start with User — you can promote later. Demoting a Manager to User is also fine but more disruptive.

Custom roles

On Propel+, Middle Market, and Custom plans, you can build custom roles with specific permission combinations. Use these when:

  • A standard role grants too much (you want a “User without integration access”)
  • A standard role grants too little (you want a “User who can also redeem Data Credits”)
  • Your team’s structure doesn’t match the system role boundaries

Common questions

Can I change a user’s role after they accept the invitation? Yes — open their profile on the agency and change the role. The new permissions apply immediately.

Does the role affect billing? No. Billing is per seat, not per role. Different roles cost the same.

What’s the role of the person who created the agency? Typically Owner. They can grant Owner or Admin to others as needed.
