Creating custom roles

Custom roles let you mix permissions to fit your team's structure. Available on Propel+ (3 max), Middle Market (4 max), and Custom (negotiated). Build by picking individual permission flags. Users on a deleted role need to be reassigned first.

In short: On Propel+ and above, build a custom role by toggling specific permission flags. Useful when standard roles don’t fit your structure. Limits apply per plan.

When you’d want a custom role

Standard roles cover most cases, but some situations call for a custom mix:

  • A “data-credit-only” role for a teammate who handles purchases but doesn’t manage submissions
  • A “submissions-only” role for a contract worker who shouldn’t see user management
  • A “reports-only” role for an analyst who reads data but doesn’t edit
  • A blend like “User + integrations” — standard User permissions plus the ability to handle integrations

Standard system roles (Manager, User) are starting points. Custom roles let you tune the mix.

System roles (Manager, User) don’t count against the limit — they’re always available.

Permissions you can mix

Each custom role is built by ticking individual permissions on:

  • Manage Submissions — full access to view, edit, and archive Submissions
  • Manage Users — invite teammates, remove them, and change roles
  • Manage Billing — view and change subscription, plans, payment methods, invoices
  • Manage Integrations — connect, configure, and disconnect integrations
  • View Reports — see Form Insights, Link Performance, and other reports (only available on plans that include Reports)
  • Redeem Data Credits — buy and redeem Data Credit packs
  • Manage Forms — create, edit, and archive Forms
  • Manage Live Intake templates — build and manage Live Intake templates
  • Manage Custom Questions — create, publish, and archive Custom Questions
  • Transfer Ownership — change who the Owner of the agency is

Tick whichever combination this role needs. Save with a clear name describing what the role is for.

Create a custom role

    Open your agency’s roles settings.

  2. 2

    Click to add a new role.

  3. 3

    Name it descriptively — “Submissions Only,” “Senior Agent + Reports,” etc.

  4. 4

    Toggle the permission flags this role should have.

  5. 5

    Save.

  6. 6

    The role appears in invitation pickers and user-edit screens.

Assign a custom role to a user

When inviting a new user, pick the custom role from the role list. To change an existing user’s role to a custom one, open their profile on the agency and select the custom role.

Delete a custom role

You can’t delete a custom role that has active users assigned to it:

    Identify users on the role you want to delete.

    Reassign them to a different role.

  3. 3

    Once no users hold the role, delete it.

  4. 4

    The role disappears from pickers; the slot frees up against your plan limit.

Common questions

Why doesn’t my Propel plan offer custom roles? Custom roles are a Propel+ and above feature. Upgrade to enable.

I hit the custom role limit. Can I delete an old role to add a new one? Yes — reassign any users on the old role first, delete the role, then create the new one.

Can a custom role have permissions a Manager doesn’t have? You’re free to toggle any combination of flags. A custom role can be more permissive than User and less permissive than Manager — or vice versa.

System roles like Manager/User can’t be deleted, right? Right. SALT preserves system roles regardless of plan.
