Bulk-exporting Submissions

Bulk export packages many Submissions into a single CSV. The job runs in the background and emails you a download link when ready. Capped at 1,000 Submissions per export. Sensitive fields require export consent.

In short: Filter the list to what you want to export, then run the bulk export action. SALT processes in the background and emails you a download link. Maximum 1,000 Submissions per export.

How bulk export works

Single-Submission export is fast and instant. Bulk export across many records can take minutes — so SALT prepares it in the background and emails you when it’s ready.

The flow:

  1. You filter the Submissions list to the records you want.
  2. You run bulk export.
  3. SALT confirms the request and starts preparing the file.
  4. When ready, SALT emails you a download link.
  5. You click and download the CSV.

The download link expires after a security window — re-run the export if you wait too long.

Run a bulk export

    Filter the Submissions list to the records you want exported. Apply Status, Tag, date, and any other filters.

    Trigger the bulk export action.

    Confirm any prompts (export consent, CSV/PDF choice).

    Wait for the email. It arrives at the address tied to your account.

    Click the link in the email to download.

Filters apply to the export

The export contains exactly what’s in your filtered list at the moment you ran it. Archived Submissions are excluded unless your filter included them. Same for sample Submissions, spam-blocked Submissions, etc.

If the export looks incomplete, double-check the filters that were active when you ran it.

The 1,000-Submission cap

A single bulk export covers up to 1,000 Submissions. If your filtered list exceeds that, the export takes the most recent 1,000 (or the highest-priority slice depending on sort order).

For larger needs:

  • Run multiple bulk exports with different date ranges.
  • Use bulk export to seed a downstream system, then use API/integration sync for ongoing data flow.

Sensitive Custom Questions (those marked as requiring export consent) won’t appear in the CSV until your agency has accepted the consent prompt. If you expect a Custom Question’s data and don’t see it, that’s the most likely cause. See Custom Question security.

When the export email doesn’t arrive

If you don’t receive the email after a reasonable wait:

  1. Check your spam/junk folder. Some inbox filters flag automated emails.
  2. Check your email address on your SALT profile. A typo there means the email goes nowhere useful.
  3. Look for delivery failures. SALT tracks email bounces; if your email had recent bounces, future emails may be suppressed.
  4. Re-run the export. A failed export sometimes leaves no email.
  5. Contact support if the issue persists.

Common questions

Will my Notes and Comments be in the export? Typically not. Internal context isn’t included by default. Some agencies configure exports to include notes — check your agency’s settings.

Can I schedule a recurring bulk export? Not natively. For recurring data flow to a downstream system, use webhooks, Zapier, or a scheduled integration.

My filtered list shows 1,500 Submissions but the export only has 1,000. Why? The 1,000-cap. Run two exports with date ranges that split the set, or export to a downstream system without the cap.

Can teammates see what I exported? Export activity is logged with who exported and when. Admins can review. The exported file itself is yours to handle.
