Tags
Tags are flexible labels you attach to Submissions to categorize them outside the workflow Status. They're account-wide, freely combinable (a Submission can have many), and filterable from the list. Use them for anything that doesn't fit neatly into Status — priority, carrier-eligibility, source attribution, callback flags.
In short: Tag a Submission to categorize it outside the Status workflow. Tags are account-wide, multi-select, and filter the list. Add, archive, and reorder Tags from your agency’s Tags settings.
When to use a Tag instead of a Status
A Status is where in the workflow a Submission sits — Lead, In Progress, Won, etc. There’s exactly one Status per Submission.
A Tag is anything else worth flagging. A Submission can have many Tags. Examples:

If you’re tempted to add a workflow stage to your Statuses but it doesn’t really replace anything else (e.g. “high priority” is a flag, not a stage), use a Tag.
Tag a Submission

Open the Submission.

Find the Tag picker (typically in the sidebar or at the top of the detail page).

Select existing Tags or type to create a new one (where supported).

The Tag attaches immediately.
Remove a Tag by clicking it again or using the remove control.
Manage your agency’s Tags
Tags are account-wide — they belong to the agency that created them.
From your agency’s Tags settings, you can:
- Add new Tags ahead of time so they’re ready to use.
- Archive Tags you’ve stopped using. Past Submissions keep them; the Tag just doesn’t appear in pickers.
- Reorder Tags so the most-used ones surface first.
- Restore archived Tags when needed again.
Filter by Tag
The Submissions list filter bar accepts Tags. Pick one or more to narrow the list. Combine with Status, assignee, date, and other filters for sharper queries. Save common combinations as Saved Views.
Tag conventions worth adopting
A few patterns agencies find useful:
- Source tags (
google-ads,referral-acme,walk-in) — track where leads come from when the Form alone doesn’t capture it. - Carrier-eligibility tags (
carrier-x-yes,carrier-y-no) — flag during quoting which carriers a Submission is eligible for. - Action tags (
needs-callback,awaiting-docs) — surface what needs doing next without rotating Status. - Quality tags (
high-quality,worth-pursuing) — for triaging when a partner sends a lot of leads of varying quality.
Don’t overdo it. A Submission with 12 Tags is harder to scan than one with 2.
Common questions
Are Tags shared across forms? Yes — Tags are account-wide. Any Submission on your agency can carry any of your agency’s Tags.
Can a Submission’s Tags trigger automation? Some integrations sync Tag changes (where supported). Webhooks and Zapier triggers can fire on Tag attachment. Check the per-vendor guides.
What if a Tag I’m using is archived by another admin? Submissions that already have it keep the Tag. The Tag just stops appearing in pickers — until someone restores it.
Can a Tag be specific to one Form?
The current Tag system is account-wide, not Form-scoped. To approximate per-Form Tags, prefix with the Form name (auto-needs-vin, home-needs-roof-photo).
