Customizing Statuses

Customize the 6 editable default Statuses or add your own to match your agency's workflow. You can rename, recolor, reorder, archive, and configure auto-archive behavior. Past Submissions inherit whatever label they had at the time — renames don't rewrite history.

In short: Open Statuses settings, edit existing ones or add new, drag to reorder, and save. The two system-managed Statuses (Lead, New) can’t be edited, but everything else is yours to shape.

What you can change

Per Status:

  • Name — what shows up in pickers and on the Submission
  • Color — visual marker in the list and on the Submission detail
  • Position — order in the picker and (where applicable) in workflow tracking
  • Archive — take a Status out of the picker without deleting it
  • Auto-archive — when a Submission moves to this Status, optionally archive the Submission automatically after a configured period

What you can’t change:

  • The two system-managed Statuses (Lead, New) — they drive SALT’s complete-vs-incomplete distinction across the platform.

Add a Status

    Open Statuses settings on your account.

    Add a new Status.

  3. 3

    Name it, pick a color, and set its position.

  4. 4

    Save.

The new Status immediately appears in the picker on every Submission detail page.

Rename or recolor an existing Status

    Open the Status from your settings.

  2. 2

    Edit the name and/or color.

  3. 3

    Save.

The change applies wherever the Status is referenced — the list, the picker, the detail view, exports. Past Submissions that already had this Status now show the new name and color too — there’s no separate migration.

Reorder Statuses

Drag Statuses into the order you want from your Statuses settings. The picker on each Submission detail uses this order.

Archive a Status

Archiving a Status removes it from the picker so no one can put a Submission into it going forward. Past Submissions already in that Status keep their label — you’ll still see the (archived) Status on those records.

Restore the Status to bring it back to the picker.

Auto-archive a Status

Some Statuses naturally end the workflow (Lost, Won, abandoned). For those, enable auto-archive on the Status — Submissions moving to that Status are automatically archived after a configurable delay.

A Submission archived by an auto-archive Status can’t be manually un-archived through the normal flow. Move the Submission to a different Status first, then unarchive — or remove auto-archive from the Status if you don’t want this behavior.

Use auto-archive sparingly. Aggressive auto-archive can hide active conversations from your agency’s daily view.

Common questions

Will renaming a Status change historical reports? The Status label updates everywhere — including reports referencing the Status. If you want to preserve a historical label, archive the old Status and create a new one rather than renaming.

Can I delete a Status entirely (instead of archiving)? Archive is the customer-facing path. Hard delete would orphan Submissions in that Status with no fallback label. Archiving keeps the data sound.

How do I move many Submissions to a different Status at once? Bulk-tag and bulk-status operations are available from the list view (where supported). Select Submissions, choose the new Status, apply.

What happens if I auto-archive and the consumer comes back? If the consumer (or a teammate) takes any action that requires the Submission, you’ll need to manually move it out of the auto-archive Status first. The consumer doesn’t see Statuses, so they’re unaffected.
